Organization's Mission: The mission of Wasatch Forensic Nurses is to provide compassionate care and professional timely collection of forensic medical evidence and services as part of a multidisciplinary team.
Position Summary: The Administrative Assistant for Wasatch Forensic Nurses is the main contact for office related work.
The Administrative Assistant will be available Monday-Friday during business hours to assist the team and community with agency related tasks.
Primary Responsibilities: -Management of Finances
Creates invoices via quickbooks for grants with community partners and other funding sources that require WFN invoicing.
Assists with submission of grants via U.S. mail and e-mail.
Invoices various vendors for sexual assault exams, interpersonal violence exams and suspect exams.
Receive payments and reconciles those payments in quickbooks. Works closely with WFN accountant on monthly reconciliation.
Gathers quickbooks information or reports as needed.
Initiates payment of monthly bills—rent, etc. and distributes payments via U.S. mail, in person or makes arrangements for payment pickup.
Completes payroll twice a month. Enter hours with assistance from Executive Director. This includes completing payroll taxes in quickbooks.
Gathers information from databases to complete invoicing for WFN and nurses.
Deposit checks/payments into WFN bank account.
-Office Management
Receives, sorts and distributes mail.
Monitors and answers administrative and personal WFN e-mail accounts.
Answers and directs phone calls and texts.
Provides general support to visitors.
Develops, contributes to and maintains electronic and manual filing systems.
Maintains a list of current contacts for community partners.
Carries out administrative duties, filing, typing, copying, scanning, etc.
Handles sensitive information in a confidential manner. Will be exposed to explicit information regarding exams performed in written and picture form.
-Facilitation of education training/meetings
Assists with setting up interviews and preparing training orientation for new nurses.
Creates new personnel file for nurses joining the team. Maintains and keeps personnel files up to date on nurses and employees of WFN. Creates employee/nurse badges.
Participates in new nurse orientation ensuring all paperwork is completed correctly, equipment is available, charged and in working order, and nurses are able to log-in and use chromebooks.
Orders and delivers lunches/food for various meetings.
Organizes and schedules meetings, orientation, appointments. Sets up and tears down meetings.
Takes accurate minutes of meetings—team meetings, board meetings, leadership meetings, etc.
Communicates with and schedules GTA’s for several trainings and preceptorships throughout the year. Generates payments for GTA’s.
-Preceptor Program
Schedules hotel for preceptor nurses, collects necessary paperwork from preceptors, handles ongoing correspondence with preceptors.
Ensures equipment gathered, clean, charged and ready to use prior to preceptor orientation.
Tracks evaluations and shares results with administration.
Invoices community partners for preceptors visiting our program.
-Equipment Maintenance/Inventory
Maintains office/nursing supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifies receipt of supplies for all WFN debit cards.
Purchases medical and office supplies as needed.
Assembles kits for new nurses joining the team. Disassembles and records equipment returned when nurses leave the team.
Maintains extra equipment and supplies. Checks out equipment to nurses.
Restocks nursing supplies at office and area hospital stocking stations.
Arranges for replacement of broken equipment--may invoice nurse for lost or broken equipment beyond normal wear and tear.
-Court Coordination
Reviews incoming subpoenaes for nurses.
Prints and gathers necessary information from case files for nurse to take to court.
Gathers information from case files for various court personnel for trial and follows policies and procedures regarding release of information.
Schedules pre-trial meetings with District Attorney or other Prosecutorial Agencies.
Coordinates with court liaison nurse to find support nurse for court.
-Reports
Print profit and loss statements and other reports from quickbooks.
May compile reporting information for monthly newsletter.
May compile grant reporting information.
Gather data from the service areas we cover and compile into quarterly report.
-Miscellaneous
Other duties as assigned.
Desired Qualifications: At least 1 year of Administrative Assistant experience.
Proficient with MS Office Suite and Quickbooks
Excellent time management skills and ability to multi-task and prioritize.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Heavy lifting (up to 50 pounds) may be required.
High School Diploma or equivalent.
Clear background check and negative drug testing.
Preferred experience with managing grant expense receipts.
Preferred experience with the judicial system.
Preferred experience with invoicing/billing.
Experience with HIPAA helpful.
