Position Summary: We are looking for a highly motivated Payroll and Accounts Payable Specialist to join our team!
Primary Responsibilities: Bi-monthly Payroll Coordination:
• Process payroll accurately and timely using PayCom.
• Collaborate with the VP of Administration to ensure accurate and timely updates have been completed by employees.
• Respond to employee inquiries related to payroll, tax withholdings, and benefits, providing exceptional customer service.
• Perform data entry of payroll into Quickbooks and collaborate with the Controller to ensure accurate general ledger coding and reconciliation of payroll accounts.
Weekly Accounts Payable Coordination:
• Review and verify invoices, purchase orders, and payment requests for accuracy and completeness.
• Enter invoices into the Quickbooks for Nonprofits system and ensure proper coding and approvals. Print checks and mail checks and invoices.
• Reconcile vendor statements and resolve any outstanding balances or discrepancies.
• Assist in month-end closing activities.
• Complete weekly accounts payable filing and maintain accurate and organized accounts payable records and documentation.
• Support the finance team with audits and provide necessary documentation and information as required.
Desired Qualifications: The ideal candidate will have the following qualifications and experience:
• A minimum of 2 – 3 years bookkeeping experience.
• Must have proven experience using PayCom, Quickbooks, Excel, Word, and Microsoft Teams. Salesforce experience a plus.
• Prior experience and ability to adapt to constantly changing priorities, while you remain flexible, and perform under pressure.
• Willingness and ability to learn and quickly apply new skills.
• Ability to maintain confidentiality and oversee privileged information in a discreet and confidential manner.
• Excellent communication skills (written and verbal), team-player and an initiative-taker.
• You have a passion for BBBSU’s mission, are a quick and eager learner, are excited about balancing multiple activities, and have extremely high standards for the quality of your work.
Benefits / Why Work With Us: Compensation & Benefits:
• This is a 30 hour per week position, at a rate of $20.00 per hour with eligibility for overtime.
• Medical/Dental/Vision coverage available on the 1st of the month after completing one full month of service
• Paid time off includes: (pro-rated to 30 hours per week schedule) 22 Days of PTO + 8 Paid Holidays + 3 Paid Volunteer Days which includes, Vacation, Sick, Personal days, AND the week between the December Holidays (12/26/23 – 12/30/23). *Time off is accrued and pro-rated based on your start date
