Position Summary: Accounts Payable Coordinator



Reporting to the Accounting Manager, the Accounts Payable Coordinator is responsible for the Accounts Payable function within the accounting department. The Accounts Payable Coordinator ensures efficiency, accuracy, and timeliness of inputting payables data and processing payments to vendors. The Accounts Payable Coordinator is the primary contact for Zoo vendors and internal staff members who make purchases on behalf of the Zoo.
Primary Responsibilities: Duties and Responsibilities:

Facilitates and documents the Zoo’s financial transactions such as payments, utility bills, invoices, purchase orders, and reimbursements.
Processes invoices and payments accurately and on a timely basis.
Enters/verifies/updates information via a customer database or accounting software.
Reviews all invoices for appropriate documentation and approval prior to payment.
Reconciles monthly benefits invoices with payroll records and inputs for payment.
Responds to all internal and external inquiries about payments and vendors.
Monitors daily exports to accounting systems for discrepancies.
Maintains and updates records and other data, including vendor information.
Balances associated accounts within general ledger.
Maintains Fixed Assets and other capital records in accordance with GAAP.
Provides departmental support for procurement system, including user management.
Proactively research problems and provides consistent follow-up.
Works with management, departmental heads, and other stakeholders to ensure financial information and reporting is accurate and complete.
Provides excellent internal and external customer service, communicating with co-workers, management, guests, and others in a courteous and professional manner.
Conforms with and abides by all regulations, policies, work procedures, and instructions from supervisor.
Processes month- and year-end closing.
Supports payroll processing as needed.
Other duties as assigned.
Desired Qualifications: Qualifications:

Must have 2+ years of accounts payable experience. Nonprofit or industry-specific experience preferred.
High school diploma or equivalent required, degree in a related field preferred.
Must be a thorough and detailed person with sound judgment and technical skills, analytical ability, able to focus and prioritize multiple – and sometimes competing – projects. This is a confidential position that requires high moral and ethical standards.
Must be able to think critically and demonstrate problem-solving skills.
Must be organized, efficient, decisive, intelligent, and have effective communication skills.


Physical Demands:

Ability to communicate orally with customers, vendors, management, and other co-workers is crucial.
Regular use of the telephone and e-mail for communication is essential.
Sitting for extended periods is common.
Activities require the ability to remain in a stationary position 50% of the time, occasionally move about inside the office to access files or office equipment, operate a computer and other office productivity machines, such as a calculator, handheld devices, copy machine, and computer printer, and operate and monitor various equipment.
Must be able to constantly position self to maintain equipment, including under tables and desks.
No heavy lifting is expected. Exertion of up to 10 lbs. of force occasionally may be required.
Good manual dexterity for the use of common office equipment such as computer terminals, calculators, and copiers.

Work Environment

Incumbent performs in a typical office setting with appropriate climate controls. Tasks require a variety of physical activities that do not generally involve muscular strain, but do require activities related to walking, standing, bending, stooping, sitting, reaching, talking, hearing and seeing. Common eye, hand, and finger dexterity is required to perform essential functions.
