Position Summary: JOB OVERVIEW:
The Payroll Specialist serves as the single most important individual in ensuring our employees are compensated correctly, efficiently, and promptly. As the central point of contact between employees and the finance department, this individual will constantly exhibit the highest standards of service and professionalism through a calm and confident demeanor. Reporting to the VP of Finance and CFO and regularly collaborating with the Director of HR and the Controller, the Payroll Specialist daily handles confidential information, including HIPPA and other personal data, and thus must be capable of promptly and properly securing records and conversations with discrete, sensitive, and efficient care.
Primary Responsibilities: ESSENTIAL RESPONSIBILITIES INCLUDE:
Prepare and input all bi-weekly payroll data for USUO Orchestra, full-time and part-time staff (both non-exempt and exempt), and unionized contract workers as well as efficiently and properly processing payable reimbursements and garnishments when applicable.
Prepare monthly benefit payments.
Prepare and file monthly union dues.
Prepare payroll tax and unemployment reporting to State and Federal agencies.
Reconcile company vacation and sick time calendars.
Process, file, store, and organize employee files.
Accounting Department Support:
Resolve uncashed check payments
Assist with annual audits.
Support management through ad hoc data collecting, reporting, analysis, and special projects as assigned.
Other duties as assigned.
Desired Qualifications: REQUIRED EDUCATION/EXPERIENCE/SKILLS:
Minimum of bachelor’s degree or comparable professional experience.
Two or more years’ experience in payroll processing.
Working knowledge of MS Word, Outlook, and Excel.
Strong Excel skills (formulas, pivot tables, etc.).
Knowledge of MS Great Plains a plus.
Ability to interact with department managers to resolve discrepancies.
Strong analytical and problem-solving skills.
Strong organizational skills with the ability to handle numerous details, deadlines, and requests.
Capacity to work both independently and collaboratively with the team and across functions.
Ability to discretely and tactfully handle and secure confidential information.
PHYSICAL REQUIREMENTS:
Prolonged periods of remaining stationary and working on a computer.
Able to move equipment weighing up to 20 pounds.
