Organization's Mission: Shelter the Homeless, Inc. (STH) is a 501(c)(3) nonprofit organization that has three primary purposes: 1) to hold land and facilities for the benefit of individuals who are experiencing, or who have in the past experienced, homelessness; 2) to select and monitor providers of services for such individuals; and 3) to foster accountability for public safety in relation to homeless services and for the integration of homeless service facilities into the neighborhoods in which they exist. In addition, STH is a leader in supporting the goals of the Salt Lake Valley Coalition to End Homelessness.
Created in the 1980’s, STH is one of the key stakeholders for the coordinated delivery of services to individuals experiencing homelessness. We accomplish our mission by developing and owning properties throughout Salt Lake County. Our history includes three permanent supportive (case managed) apartment properties – Wendell, Palmer Court, and the Magnolia; and four Homeless Resource Centers (HRCs
Position Summary: The position requires an energetic, friendly, organized, self-starter to undertake the coordination and management of facility maintenance at new projects STH undertakes as well as provide support to the four Homeless Resource Centers. The Operations Coordinator will manage relationships with a variety of vendors and homeless service providers to coordinate building repairs and improvements that facilitate a supportive environment to individuals experiencing homelessness. In addition, duties include project management, ability to understand building safety standards and expectations set out by conditional use permits, and other administrative duties as assigned under the direction of the Operations Manager. The ideal candidate would be comfortable performing office duties, solving complex problems that affect vulnerable populations, as well as having a general knowledge of facility maintenance and repair.
Primary Responsibilities: • Manage service provider and supplier relationships with clear and effective communication.
• Maintain service provider and supplier contracts, including record keeping for all contract-related correspondence and documentation, provide contract-related issue support resolution, monitor contracts, extension or renewal, and contractors' performance.
• Perform routine inspections of each facility to preserve the quality and functionality of STH buildings and major systems.
• Coordinate with vendors for specialized work, including bidding services with competitive quotes for cost management.
• Maintain documentation relating to building licenses, inspections, quotes for services, and detailed tracking of invoices.
• Work in a team environment with the STH Operations team and collaborate on facility projects.
• Participate in the Salt Lake Valley Coalition to End Homelessness meetings and working groups as needed.
• Respond to emergency facility issues at all hours if needed.
• Other duties as assigned by manager.
Desired Qualifications: • Proven working experience in an office setting.
• Experience in facility maintenance or project management.
• Keen attention to detail and problem-solving and planning skills.
• Excellent communication and interpersonal skills.
• Knowledge of basic bookkeeping principles and office management systems and procedures.
• Friendly and comfortable interacting with internal and external stakeholders.
• Ability to establish and maintain effective working relationships with staff, board members, government officials, community groups, and other related agencies and people.
• A creative mind with an ability to suggest improvements.
• Excellent time management skills and ability to multi-task and prioritize work with limited supervision.
• Proficiency with Microsoft Office applications and Dropbox, a plus.
• Proficiency in English language required, Spanish language skills preferred.
• Ability to exercise discretion and confidentiality.
• Ability to cope with the stress of a fast-paced work environment.
• Ability to function in a high-pressure environment and to meet stringent deadlines for completing tasks.
• Ability to work in excess of a 40-hour week with irregular work hours when needed. Support 24/7 operations, some weekends and evenings may be required.
• Frequent travel to various STH facilities, construction sites and meetings.
• Ability to stand or sit while maintaining alertness for several hours at a time.
• Ability to speak concisely and effectively communicate needs.
• Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency.
• Ability to view data on a computer and/or on paper for long periods of time.
• Ability to walk, stand, and sit (including on the floor) for long periods of time.
• Must be able to lift and carry supplies weighing at least 30 pounds.
