Position Summary: Visual Art Institute Receptionist can masterfully multi-task with excellent communication skills and an upbeat attitude. Should exhibit the skill set to assist leadership by handling office tasks, providing polite and professional assistance via phone, mail, and email while being a helpful and positive presence in the workplace. They are the first point of contact with visitors, providing general support, information, and direction. The Receptionist is responsible to organize the general reception area ensuring that it is clean, safe, and visually appealing to those coming into the space. They are an administrative assistant to the Executive Team. Receptionist ensures office equipment is maintained and in good working order. Work closely with the Executive Director and Art Director. They should anticipate the needs of others to ensure their seamless and positive experience.
Primary Responsibilities: Responsibilities:
• Greet and assist visitors, logs VAI flex pass members, routes and logs incoming telephone calls.
• Assists students / parents trouble shoot enrollment difficulties using registration platform.
• Monitors, responds to, and distributes general mailbox emails.
• Manages incoming and distributes postal mail.
• Oversee office appearance - stocking supplies, light cleaning, keeping things orderly and presentable, etc.
• Design, implement, and oversee adherence to office policies and procedures
• Monitor office supplies inventory.
• Perform clerical and administrative responsibilities
• Maintain a safe and secure working environment.
• Provide general administrative and clerical support to executive team.
• Provide real-time scheduling support for executive team by booking appointments and preventing conflicts.
• Communicate and implement administrative priorities of executive team
• Screening telephone calls and routing callers to the appropriate party
• Manage volunteer relationships, activities, and track volunteer hours
• Maintain and manage the inventory of all non-technical assets.
• Monitors and disseminates correspondence received via email or postal service
• Assist Marketing/Communications in designing and posting on social media platforms (Instagram, Facebook, and LinkedIn) 3-5 days a week partnering with other staff for content and approval as needed.
• Manage swag inventory (t-shirts, mugs, pens, etc.)
• Maintain electronic filing system and documentation as needed
• Coordinate and communicate staff activities to ensure maximum efficiency
• Assist in the orientation and training of new art faculty / staff members.
• Complete special projects as needed and other duties assigned.
Desired Qualifications: • Minimum of one-year of higher education towards a degree in a related field.
• Prior administrative or reception experience preferred.
• Must have excellent interpersonal, written, and oral communication skills.
• Attention to detail.
• Collaborative teamwork: the ability to inspire and motivate people to be effective in their roles.
• Emotional intelligence: compassionate and energized by face-to-face contact with others.
• Excellent communication skills.
• Strong work ethic.
• Demonstrated ability to manage and complete multiple tasks in a busy environment.

• Attention to detail and ability to organize data, schedules, tasks, and projects.
• Proficient in MS Word, Excel, Google Workspace.
• CRM knowledge/experience preferred.
