Job Summary: Part Time: 20 hours per week.

OVERALL RESPONSIBILITIES:
The Office Manager will be responsible for maintaining the Main Office and Homeownership Center common space areas, all office equipment, and supply inventory. The Office Manager will also be responsible for answering phone calls, processing customer payments, providing general support to the Executive Director and other staff members, as appropriate or directed by Executive Director.
Primary Responsibilities: SCOPE OF RESPONSIBILITIES:
1. General Office
• Maintain office space, equipment, furnishings, and supplies.
• Monitor supply expenses and ordering/purchasing office supplies.
• Keep a monthly calendar of all projected meetings to be attended by staff, Board and committee members.
• Manage Homeownership Community Center’s meeting calendar.
• Review all mail received and distribute to appropriate departments.
• Answer phones and respond to relevant inquiries and provide general information to clients.
• Maintain and regularly update Board of Directors files, as well as all personnel files, and all necessary documentation for new employees.
• Prepare Board and committee packets for various meetings and confirm attendance of respective Board and Committee members.
• Prepare minutes from monthly board meeting.
• Process customer payments.
• Coordinate meeting food orders with appropriate staff.
• Other duties assigned by Executive Director or Deputy Director.
2. Lines of Business
 Maintain customer databases for lines of business
 Manage and coordinate staff calendars
 Provide marketing and social media support
Desired Qualifications: SKILLS & QUALIFICATIONS
• Experience with taking minutes, answering and directing phone calls.
• Must posses a high school diploma or equivalent.
• Must posses a minimum of two years administrative experience.
• A working knowledge of computers and software, including Windows, MS Office (Word, PowerPoint, Excel, Access),
• Experience in taking meeting minutes.
• Highly organized with the ability to prioritize many different tasks.
• Ability to complete assignments in a timely manner.
• Effective oral and written communication skills and ability to communicate with individuals from diverse backgrounds.
• Bilingual in Spanish a plus.
