Job Description: Administrative Director
The Administrative Director is responsible for ensuring a functional, efficient and positive working environment. This responsibility includes overseeing all areas of accounting, human resources, and general office administration. The Administrative Director ensures that all employees have the tools, support and environment they need in order to perform their jobs efficiently. In addition, the position requires strong communication and organizational skills and the ability to work with minimal supervision.
Typical Functions
Finance and accounting:
• Maintain all accounting records in Quickbooks using GAAP
• Prepare financial reports including balance sheets, income statements, cash flow, etc
• Prepare monthly budget forecasts including project cost projections and analysis
• Manage all bookkeeping activities including processing monthly project invoices, issuing check disbursements, preparing bank and credit card reconciliations, bank deposits, sales tax reimbursements, journal entries, depreciation, expense reports, etc
• Work closely with external auditors to prepare for and oversee annual IRS audit and Form 990 filing
• Work closely with and provide necessary materials and monthly reports to Board Treasurer and Chief Operating Officer
• Management and tracking of restricted/unrestricted contributions
• Support Development Director as necessary with financial information needed for grant applications and donor reporting
Human resources:
• Maintain confidential personnel files including all employment records, payroll information, and benefit documents
• Process semi-monthly payroll for hourly and salaried employees using ADP, and preparing employee timesheets for signature
• Tracking of all employee Paid Time Off to ensure accurate totals and liability at year end
• Administration of all employee benefits including health, dental, vision, LTD, 403(b) retirement plan, FSA Cafeteria plan, as well as tracking of UTA transit costs
• Maintain ERISA compliance with the assistance of National Benefit Services
• Maintain employee handbook and make updates when necessary
• Assist in the process of recruitment, interviews, and reference checks
• Report to COO with any human resource related concerns

Office management and administration:
• Complete oversight of all office functionality including equipment management, email administration, time tracking, maintaining close contact with outside IT tech, maintaining office supply and snack room stock, organization of company files as well as maintaining general office organization and cleanliness, etc
• Schedule company wide meetings with outside organizations, stakeholders, donors, etc.
• Assist CEO and COO in maintaining their ever-changing schedules
• Schedule and book travel arrangements when necessary
• Prepare and submit mileage and expense reports for CEO
• Receive, open, and distribute mail and packages
• Assist other staff in scheduling, preparing for, and executing events, including packing all necessary supplies and refreshments, scheduling catering, arranging parking, etc.
The Administrative Director is also responsible for other tasks as assigned, time permitting.
Preferred Qualifications
• Bachelor’s Degree in Accounting, Business or related field, OR 3-5 years related work experience
• Non-profit experience is ideal but not required
• Proficiency in Quickbooks and Microsoft Office is required, experience with ADP preferred
