Job Description: Utah Philanthropy Day is an annual luncheon celebrating Utah’s outstanding philanthropists and volunteer leaders. Each November since 1999, the Association of Fundraising Professionals Utah Chapter (formerly Utah Society of Fund Raisers), Utah Nonprofits Association, and UServeUtah have come together to celebrate those in our community who embody the spirit of philanthropy and volunteerism. Seven prestigious awards along with the Heart & Hands award honor the various components of the critical nexus between visionary, supportive philanthropy and thriving, creative nonprofit organizations that respond to community concerns and the need for change.

The 2019 Utah Philanthropy Day will be held on November 19 and anticipates 1,000 people in attendance.

Position Summary
The Event Coordinator is a part-time position responsible for all event planning and coordination leading up to the event and overseeing all logistics on the day of the event. Event Coordinator responsibilities include providing outstanding customer service and attention to detail as the liaison with event sponsors. This person is a member of the Utah Philanthropy Day (UPD) planning committee and will report to the Executive Committee.

The pay rate for this position is $6,000.

Primary Job Responsibilities

• Attend monthly committee meetings and assist the Executive Committee and the Event Chair with agenda planning for meetings; take notes as appropriate for timely follow up on tasks requested
• Oversee the award nomination and selection process in collaboration with the UPD committee
• Work with the Executive Committee and planning committee to ensure that deliverables meet the approved deadlines
• Serve as the liaison to sponsors and track sponsorships and revenue income
• Update social media platforms in a timely matter
• Coordinate mailing lists from all three organizations and past Philanthropy Day events and create and maintain UPD mailing list
• Draft necessary correspondence as directed and approved by the executive committee
• Serve as the main contact for the event, corresponding with attendees, award winners, sponsors, and others in a timely fashion and demonstrating excellent customer service skills
• Secure video production company and schedule taping of award recipients
• Keep records of all Philanthropy Day documents such as; agreements, receipts, invoices, bids, etc. in central online document coordination system, adhering to the Financial Policies as outlined in the Management Agreement
• Interface with the venue for contract negotiation and event planning in cooperation with executive committee representatives
• Prepare slide show for Heart & Hands recipients
• Coordinate all Heart & Hands award materials, including pins and certificates for distribution
• Track the fulfillment of sponsors’ benefits – logo inclusion on various collateral, etc.
• Ensure coordination of corsages or boutonnieres for all appropriate individuals as determined by the planning committee
• Oversee online event registration and assign table placements for the day of event
• Ensure that all appropriate signage for event is secured with approval of the planning committee and coordinate at event (i.e. table numbers, names, backdrops, directional signage etc.)
• Produce luncheon program with input and direction from the planning committee
• Attend the event and oversee logistics, including set-up, check-in, program production, and clean up. Be present at the event to make sure it runs smoothly.
• Attend other meetings as requested
