Job Description: The Guest Services Coordinator assists in all aspects of daily operation of the Ronald McDonald Family Rooms in Primary Children's Hospital. The main focus of this position will be to provide support, oversight and upkeep to our new Ronald McDonald Family Room® Level 2. The Guest Services Coordinator is responsible for delivering exceptional guest services by assisting families utilizing the Family Room resources, coordinating guest flow and maintaining the cleanliness and order of the Family Rooms. In addition, this person will be responsible for various additional duties as assigned by the Family Room Manager or Hospital Programs Director.
Hours:
Saturday, Sunday & Monday: 4pm-9pm
Primary Duties and Responsibilities:
Guest Services
Assist in the delivery and continuity of guest services, including but not limited to:
 Answering phone calls and directing calls and messages appropriately
 Ensuring that Family Room guidelines are followed and rules are upheld as needed
 Assigning rooms in database based on Family Room guidelines
 Giving Family Room tours to guests and various visiting groups
 Monitoring the kitchen areas; cleaning, restocking, making coffee, organizing food donations
 Participating in inventory counts and controls
 Registering new and returning guests
 Communicating with hospital social workers regarding family referrals and room availability as needed
 Handle guest communications, including available event tickets and meals
 Lock up the Family Room at the end of shift, leaving it clean and organized for the next day.
 Administrative/Accounting/Computer
 Obtain accurate pre-registration info from social workers at the hospital and guest registration
Other Duties and Responsibilities:
 Prepare a daily summary of shift activities for the Family Room Manager, particularly noting any incidents involving hospital security, police or emergency medical assistance
 Attend department staff meetings, which are held during daytime working hours
 Assist with other related duties as requested by the Family Room Manager or Hospital Programs Director
 Fill in for vacations and/or holidays, as needed
 Oversee organization of storage closets and sorting of donations and supplies
 Coordinate volunteers, including community service workers and meal groups when necessary
THE PERSON:
Experience Required:
Requires at least two years of work experience in a customer service or similar position that involved interaction with the public.

Skills Required:
 Exceptional verbal, written, and interpersonal communication skills
 Basic computer proficiency, including email, Word and Excel
 Strong attention to detail
 Ability to work well under pressure, meeting multiple and sometimes conflicting deadlines
 Good analytical and problem-solving skills
 Fluency in Spanish is helpful
 Highly organized, creative, energetic and collaborative team player
 Confidence, sensitivity and diplomacy to interact and collaborate with varied constituents, including guests, volunteers (including members of the Board of Trustees), hospital personnel, staff, donors
 Flexibility with regards to work assignments and changing priorities
 Comfortable working in a hospital environment
 Interest in serving children and families
Educational Requirements:
High school diploma.
Hospital Requirements:
Attend Primary Children's Hospital Volunteer Orientation and fulfill requirements which include drug test, immunization records, background check and completion of online education modules.
