Position Summary: The office specialist is responsible for performing administrative and clerical duties to support the daily operations of the accounting office. The office specialist handles all cashier’s window transactions, assists in administering purchasing card processing, and provides administrative support to the accounts payable lead. The office specialist also performs general office duties including answering incoming phone calls, responding to email and other communications, managing files, updating documents, and other general office clerk duties and errands. This position is front facing and handles various college constituents, both in person and by phone, and supports student success by processing student tuition and by being a positive contributor to the college’s administrative efficiencies.
Primary Responsibilities: · Attend to Cashier’s window, prepare daily deposits, perform online deposits, and maintain the daily balance of cash.
· Sort and distribute bills, payments, and invoices.
· Handle incoming calls and other communications.
· Assist in administering the college’s purchasing card program
· Assist in processing check requests and check runs. Prepare checks for sorting and delivery
· Assist in processing expense reimbursement requests
· Help manage UTA program.
· Serve as the point of contact to assist campus members with inquiries relating to tuition and other general accounting office activities.
· Perform special projects as assigned.
· Prepare reports containing facts and figures of the organization.
· Complete and submit check requests for accounting and administrative offices.
· Help organize and maintain office common areas.
· Coordinate events as necessary.
· Maintain supply inventory.
· Greet clients and visitors as needed.
· Create, maintain, and enter information into databases.
Desired Qualifications: Associates degree and one year of experience; or an equivalent combination of education, training, and experience.
Strong customer service skills (experience preferred).
Demonstrated accuracy and attention to detail.
Knowledge of Excel and other Microsoft Office applications.
Strong math/analytical skills.
