Position Summary: POSITION SUMMARY

The Office Coordinator is responsible for all administrative support and clerical duties for Facilities and Capital Projects.

Reports directly to the Director of Facilities.

Process accounts payable including tracking expenditures for capital projects, processing billings from vendors, and coordinating purchase orders for individual projects.
Assist with past Capital Projects in digitizing past projects.
Seek to continuously improve processes and keep up to date with new technology by bringing possible solutions forward.
Organize and manage the office functions of the Facilities Department including filing, computer input, expediting invoice processing by interfacing with the Zoo’s accounting department.
Set up and maintain effective filing system for packing slips, invoices and work orders
Maintain computerized work order and inventory system.
Work with the Director to identify and respond to any financial or budgeting related issues.
Assist with budgetary requests, analysis in preparing various monthly reporting
Provide facility specific assistance to the project management team as needed or requested.
Provide support for meetings and conference room reservations, as needed and directed
Maintain monthly trainings and record keeping.
Resolve all issues related to purchase orders and invoices.
Tracking of projects and Work Orders through online software.
Assist with tracking Preventative Maintenance schedules for Zoo vehicles and equipment.
Maintaining SDS sheets for a facilities related items.
Other duties as assigned.
Desired Qualifications: REQUIRED EXPERIENCE

Education and Experience

Associates or bachelor’s degree or equivalent experience supervision. Relevant experience will be considered in lieu of a degree. A minimum of two year’s industry experience.

Work Environment

The incumbent performs in a typical office setting with appropriate climate controls. Tasks require a variety of physical activities which do not generally involve muscular strain, but do require activities related to walking, standing, bending, stooping, sitting, reaching, talking, hearing and seeing. Common eye, hand, finger dexterity required to perform essential functions. Requires lifting of up to 30 lbs.
